Terms and Conditions

Please read the following Terms & Conditions carefully before making a booking. These constitute the contract between you (“the Client”) and Special Holidays (“the Company”). By booking with us and paying a deposit or full payment, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

1. Booking, Deposit & Balance

  • All bookings require an initial deposit (non-refundable). This must be paid within 7 days of booking confirmation.
  • The balance payment must be cleared at least 45 days prior to your arrival.
  • For bookings made less than 45 days before travel, full payment is required at the time of booking.
  • If payment is not received by the due date, the booking will be treated as cancelled and cancellation charges will apply.

Part Payment Option: You may pay 20% at the time of booking and settle the balance up to 15 days before your travel date.

 

2. Cancellation & Refund Policy

  • Booking deposit is strictly non-refundable.
  • If cancellation is received within 45 days of the tour start date, the following charges apply:
    • Up to 30 days prior: 10% of total tour cost
    • 15–30 days prior: 35% of total tour cost
    • Less than 15 days prior: 100% of total tour cost
  • No refunds will be made for:
    • Services not utilised (e.g., meals, sightseeing, transport, hotel nights, optional tours).
    • Cancellations made after the tour has commenced.
  • Refunds (if any) will be processed within 15–45 working days by bank transfer, NEFT/RTGS, cheque, or reversal to the original credit/debit card. Bank charges (if any) will be deducted.
  • In cases of Force Majeure / Vis Majeure (natural calamities, strikes, political unrest, pandemics, etc.), refunds will be subject to supplier policies (hotels, airlines, transporters). The Company’s decision on refunds will be final.

 

3. Amendments to Bookings

  • No amendments will be processed unless the booking deposit has been paid.
  • One amendment (up to 45 days before departure) is free of charge.
  • Amendments within 44 days of departure may attract additional fees.
  • Once documents/tickets are issued, reissue charges and airline rules apply.

 

4. Prices & Payment

  • Prices are based on prevailing exchange rates, airline fares, fuel surcharges, hotel rates, and taxes at the time of booking.
  • The Company reserves the right to adjust tour prices in case of fluctuations or additional charges before the final balance is received.

 

5. Travel Arrangements

  • While every effort is made to deliver the itinerary as advertised, changes in flights, hotels, or sightseeing may occur due to circumstances beyond our control.
  • In such cases, alternatives of similar standard will be provided wherever possible.
  • The Company reserves the right to cancel or alter a tour before departure. If this occurs, you will be offered an alternative tour or a refund (excluding non-refundable costs).

Important Notes:

  • Standard hotel check-in time is 2:00 pm, and check-out is 11:00 am.
  • A maximum of 3 adults per room (with extra mattress/rollaway bed).
  • Air-conditioning may not be operational in hill stations/cool regions.
  • Mandatory charges for festive dinners (e.g., Christmas, New Year) are not included in package prices.
  • Entrance fees, parking, guides, personal expenses, and any services not listed under inclusions are excluded.

 

6. Accommodation

  • Accommodation is usually on a single/twin/double basis. Triple sharing is limited to a rollaway/extra mattress.
  • Hotel images shown are for reference only and may differ from the actual rooms provided.
  • In case a listed hotel is unavailable, a similar standard hotel will be arranged.
  • Hotels may require a refundable security deposit at check-in.

 

7. Travel Documents

  • A valid passport (minimum 6 months validity) is required.
  • Obtaining necessary visas and travel permits is the responsibility of the client.

 

8. Baggage Allowance

  • Domestic flights: 20 kg per person (check-in baggage).
  • International flights: 30 kg per person.
  • Excess baggage charges are the responsibility of the traveller.

 

9. Travel Insurance

  • Comprehensive travel insurance covering baggage loss, medical expenses, accidents, and emergencies is highly recommended.

 

10. Limitation of Liability

  • Special Holidays acts as an agent for third-party providers (airlines, hotels, transporters, etc.) and is not liable for acts/omissions of such suppliers.
  • The Company is not responsible for delays, personal injury, loss, damage, or additional expenses caused by circumstances beyond its control, including but not limited to: natural disasters, strikes, political unrest, war, terrorism, epidemics, or flight disruptions.

 

11. Complaints & Claims

  • Any issue during the tour should be reported immediately to the local guide/escort for resolution.
  • If unresolved, complaints must be submitted in writing to the Company before leaving the country.

 

12. Governing Law

  • These Terms & Conditions are governed by the laws of India.
  • All disputes fall under the exclusive jurisdiction of the High Court of Delhi, India.
